Offer and Acceptance #

Once a final candidate is selected and references are satisfactory, the process moves to offer. The verbal offer comes first, giving both parties an opportunity to confirm that compensation, start date, and terms are aligned before formal paperwork is prepared. The written offer letter, background check, and signed acceptance complete the hiring process. When a signed offer letter is in hand, hiring is closed and the onboarding process begins.

Offer Preparation #

The (Interim) ED confirms final compensation and start date before any offer is extended. A verbal offer is extended first — this is standard practice that allows the candidate to ask questions and resolve any issues before the formal letter is issued. The offer letter is prepared and sent through Insperity.

Background Check #

Background screening is initiated through the Insperity portal concurrently with or immediately following the verbal offer. Results must be reviewed by HR before the start date is confirmed. Any concerns raised by the screening should be discussed with the (Interim) ED before proceeding.

Acceptance #

Once the signed offer letter is received, HR retains it as part of the permanent employment record and the start date is confirmed with the hiring manager. Candidates who were not selected should be notified promptly. The job posting is removed or updated to reflect that the position has been filled. The hiring manager then initiates the onboarding process — see New Employee Onboarding for all steps from this point forward.
